Who Let The (Bull)Dogs Out?

Present: Darlene Sanborn, Dan Kelly, Rick Parkin, Don Rushing, Steve Longmoore, Jr., Dick Bolander, Angel Parkin and Steve Carson. 

Meeting was called to order at 6:40pm 

Minutes: A motion was made by Dan Kelly and 2nd by Don Rushing to approve the coaches meeting minutes dated June 3, 2009. Approved. 

Financial Report: Angel Parkin presented a BYF financial statement. As of July 25, 2009 the current balance in the checking account is $476.67. This is after the insurance and loan payment had been paid. See report for other details. Dick Bolander requested to meet with Angel Parkin in regards to the 60 day projected expenses with upcoming referee and ambulance fees, etc. 

Equipment Distribution Plans: Discussion in regards to the equipment bagging process, distribution and sizing players that were unavailable at registration. A date of August 6 @6pm was decided for bagging equipment at Stonecliff Animal Clinic. Dan Kelly will check the clinic calendar for any conflicts. Each Head Coach should contact at least one other assistant coach to help with equipment bagging. Equipment will be distributed to players who have paid the registration fee at the 1st practice on August 17th. Other players will be sized at practice. 

09 Football Camp: Dick Bolander provided a Football Operation Summary as of July 29, 2009. Parents and players are excited for another year of football. They have had 35-40 players per evening and excellent support from Coaches and Assistant Coaches. See report for further details. 

Lebanon is holding a camp on Monday evening, August 3; 6pm-8pm. Dick Bolander is planning on attending and feels this could be a learning opportunity for Bulldog Coaches and players. For more details contact Dick Bolander. 

Registration Fees: A motion was made by Dan Kelly and 2nd by Don Rushing to adjust our registration fee from $125. after July 1st TO $95. after July 1st due to the economic situation. Approved. 

A motion was made by Dan Kelly and 2nd by Don Rushing that no child will be excluded from playing football due to financial reasons. We will obtain what we can from the family to contribute toward the registration fee and/or work with them financially with payment plans if necessary. Approved. 

Once registration is closed for the season, find out how many players need scholarships and then we/players family can look for sponsors to support the players registration fee. 

Pass/Punk/Kick Event: Dick Bolander will be in charge of this event. Information about the event and registration forms were distributed to the players attending football camp last week. Flyer's and registration forms will be e-mailed to Coaches. The event will be held on August 15 from 9am until 12Noon at the Oxbow High School Field. Dick will need 6-7 adults to execute the competition. Dick will ask the head coaches to recruit 1 or 2 of their assistant coaches to help with the event. Dick Bolander will e-mail publicity information to Darlene Sanborn. It will be in the Journal Opinion, Bridge Weekly and on WYKR. The board was in agreement to pay for the advertising for the event. No formal action taken on amount. The “play book” is available electronically. If interested in receiving it, contact Dick Bolander. 

Bear Ridge Speedway Event: Steve Carson will be in charge of this event again this year. The event is scheduled for August 15th. Gates open at 5:30pm, however, players will be singing around 8pm. They should arrive by 7pm to obtain a jersey and prepare.  The players plus one parent get in free. Steve will need 30+ jerseys and 4 helmets. Darlene Sanborn will create a handout with the Pledge of Allegiance and the National Anthem on the back to be distributed on August 4th at football camp. Steve will need some coaches to help watch the players during the event. All jerseys are to be collected at the end of the event. 

Other Business: 

Dan Kelly received a message from Main Street Pizza of an event they are having this coming Sunday and asked if we wanted t set up a table for a bake sale or fundraiser for the Bulldogs. We liked the idea, however, the board did not feel we had enough time to arrange a fundraiser in such short notice. Dan Kelly will contact Main Street Pizza and ask that in the future more notice be given. 

There was discussion of concerns about the Cheer Program. (Energy level in recruitment  and not acting on help being offered by parents.) Only four girls signed up this year. Dan Kelly will contact Jayne Giambrone to discuss concerns. 

There was concerns about the website and information being kept current.  Darlene Sanborn will invite Dirk Ussler to attend the next meeting.  

Rick Parkin requested that Darlene Sanborn create two lists for  e-mailings.. one just for board members and one for parents/coaches interested in receiving information. 

Don Rushing discussed concerns about the fingerprinting process. Last season the VCIC got some of the fingerprinting processed and reported back to him...others he still has not heard back on.  

A motion was made by Dan Kelly and 2nd by Angel Parkin to accept the fingerprinting that came back cleared last year and all others must go through the fingerprinting process again. BYF will conduct background checks on all coaches and assistant coaches every two years. Approved. 

Calendar Fundraiser: Angel Parkin will contact Jodi Kelly to obtain team pictures from last year for the calendar. Darlene Sanborn mentioned the concerns that parents voiced last season in regards to having the current season team pictures on the calendar. Due to the timing of the drawings, the timing of current team pictures and player position assignments... it is not possible at this time. It was discussed to order 500 calendars this year and to keep the price the same as last year.
